Pre-shipment Inspection Coordinator

Position Summary

The Pre-shipment Inspection (PSI) Coordinator will serve as a key member of the Pre-shipment Inspection team at TÜV SÜD Vietnam. This role is responsible for coordinating daily inspection operations, managing communication between clients and vendors, and ensuring that all procedures comply with relevant standards such as AQL 2859-1 and ISO 9000. The PSI Coordinator will also support internal reporting and team management functions.

Key Responsibilities

• Act as the main liaison between clients, vendors/factories, inspectors, and other TÜV SÜD offices
• Handle daily client inquiries, including receiving bookings/orders and issuing quotations
• Review client specifications and clarify inspection requirements in coordination with internal teams
• Collect all required inspection materials and forward them to inspectors (e.g., packaging, approval samples)
• Schedule inspection activities and manage associated logistics
• Issue Inspection Certificates in compliance with standards
• Input and maintain inspection-related data in the tracking system
• Organize and archive inspection documentation in both hard and soft copies
• Monitor and manage approved samples, inspector samples, and inspection equipment
• Follow up on outstanding payments from clients
• Prepare and submit monthly revenue reports to the Finance team
• Report monthly work schedules for the PSI team to the People/HR team
• Perform additional duties as assigned by the Inspection Manager

Qualifications

• Bachelor’s degree with a minimum of 2 years’ experience in an administrative or coordination role
• Familiarity with inspection processes in industries such as textile, garment, footwear, or hardline goods is preferred
• Knowledge of Standard AQL 2859-1, ISO 9000, or other quality standards is advantageous
• Strong English communication skills (both written and verbal)
• Service- and results-oriented with excellent organizational skills
• A proactive team player capable of working independently and under pressure
